RFID Integrated with SAP

RFID Solution Integrated with SAP

RFID SAP integration is the work of connecting an RFID solution directly into SAP, so every tagged movement of material on the floor becomes a posted transaction in SAP without anyone keying it. Ajinkya Technologies builds RFID SAP integration for manufacturers who already run SAP and want the shop floor and the warehouse to update SAP in real time, turning a system that depended on manual data entry into one that reflects physical reality as it happens.

We build the integration the way SAP expects to be spoken to, over IDocs, BAPIs, RFC and OData, mapped cleanly to SAP MM, WM and PP, so an RFID read at a portal or on a forklift posts a goods movement, a stock transfer or a production confirmation to the right SAP transaction automatically. The result is a single source of truth where the RFID data on the floor and the inventory in SAP never drift apart.

What RFID SAP integration does

RFID SAP integration closes the gap between what physically happens to material and what SAP believes happened. Without it, a pallet moves, a batch ships or a component is consumed, and someone later keys that into SAP from memory or a paper note, late and often wrong. With it, the RFID read is the transaction, so SAP is updated the moment the material moves, by the movement itself.

The effect is that SAP finally tells the truth about inventory. Stock levels, locations, goods receipts and production confirmations reflect the floor in real time, so planning runs on real numbers, dispatch works against accurate stock, and the month end stops being a reconciliation battle between SAP and reality. RFID SAP integration is how a plant makes its SAP investment reflect what is actually on the ground.

  • Every tagged movement posted to SAP automatically
  • The RFID read is the transaction, not a later keying
  • Real time, accurate stock, locations and confirmations in SAP
  • Planning and dispatch running on numbers that match reality
  • A month end that reconciles because the data never diverged

How RFID connects to SAP, from tag to transaction

The path from an RFID tag to an SAP transaction runs through a few clean layers. RFID readers capture the movement, an edge and middleware layer filters and enriches the read and decides which SAP transaction it represents, and the SAP integration layer posts it over the right interface into MM, WM or PP. Each layer has a job, and getting them right is what makes the integration reliable rather than brittle.

The diagram below shows the path. The middleware is the part most integrations get wrong, because a raw RFID read is noisy and needs context, which tag, which location, which direction, before it can become a correct SAP posting. We build that layer to make the right posting every time, not most of the time.

From RFID tag to SAP transaction The path a movement takes into SAP POST SAP MM, WM and PP Goods movement, transfer, confirmation TRANSLATE Edge and middleware Filter, enrich, map to a transaction CAPTURE RFID readers Portals, handhelds, forklifts TAG Tagged material Pallets, bins, assets
RFID SAP integration turns a noisy RFID read into the correct SAP transaction through a clean middleware layer.

The SAP interfaces we integrate with

SAP expects to be integrated with in specific ways, and using the right interface for the job is what keeps the integration robust and upgrade safe. We post goods movements and stock transfers through the standard MM and WM interfaces, production confirmations through PP, and we use IDocs, BAPIs, RFC and OData or the SAP integration suite depending on your SAP release and landscape.

This discipline matters because a plant that integrates against SAP the supported way keeps its integration working through an S/4HANA migration or a support pack, while a plant that hacks directly at tables breaks on the next upgrade. We build RFID SAP integration on the interfaces SAP maintains, so the connection is an asset that lasts rather than a liability that has to be rebuilt.

  • Goods movements and transfers via SAP MM and WM
  • Production confirmations via SAP PP
  • IDocs, BAPIs, RFC and OData, matched to your SAP release
  • Supported interfaces that survive an S/4HANA migration

RFID SAP integration against manual SAP entry

The alternative to RFID SAP integration is what most SAP plants still do, a person keying goods movements into SAP from paper or memory after the fact. It is slow, it is error prone, and it means SAP is always a few hours and a few mistakes behind the floor. Every mis-keyed movement becomes a stock discrepancy someone hunts down later.

The comparison below is the one we walk SAP and operations leaders through, because the cost of manual entry is spread thinly across every shift and only becomes visible in the stocktake and the reconciliation.

RFID SAP integration against manual entry Where the hidden cost lives Manual SAP entry RFID SAP integration Movements keyed after the fact Movements posted as they happen SAP hours behind the floor SAP in step with the floor Mis-keys become stock discrepancies The read is the record, no re-keying Stocktake reconciles the damage Stock stays accurate continuously
RFID SAP integration replaces slow, error prone manual keying with movements posted as they happen.

Reliability, because a wrong SAP post is worse than none

An RFID SAP integration has to be right, because a confident but wrong posting into SAP is more damaging than no posting at all. It corrupts the very system the business plans and accounts from. So we engineer the middleware to be certain before it posts, filtering stray reads, confirming direction and context, and handling the awkward cases, a tag read twice, a pallet that reverses at the portal, a failed post that must be retried without duplicating.

We also build in reconciliation and visibility, so any read that could not be posted is queued and surfaced rather than silently lost, and the state of the integration is always visible. That reliability engineering is the unglamorous majority of the work, and it is the difference between an integration the SAP team trusts and one they end up double checking by hand, which defeats the purpose.

  • Stray reads filtered before anything posts to SAP
  • Direction and context confirmed for each movement
  • Failed posts queued and retried without duplication
  • Integration state always visible, nothing silently lost

RFID and SAP together across the plant

RFID SAP integration pays back wherever material moves and SAP needs to know. At goods receipt, a tagged delivery posts a goods receipt against the purchase order as it enters the gate. In the warehouse, put away and picking post stock transfers automatically. On the line, consumption and output post production confirmations. At dispatch, a tagged shipment posts the goods issue against the sales order.

Because every one of these updates SAP in real time, the whole material lifecycle from receipt to dispatch becomes visible and accurate in the system the business already runs on. The plant does not need a parallel warehouse system arguing with SAP, it needs SAP fed the truth automatically, which is exactly what RFID SAP integration delivers.

  • Goods receipt posted against the PO at the gate
  • Put away and picking posting stock transfers automatically
  • Line consumption and output posting production confirmations
  • Dispatch posting the goods issue against the sales order

The proven RFID SAP integration rollout

An integration programme fails when it tries to connect every SAP transaction at once. Ours proves itself on one flow first, usually goods receipt or dispatch, builds the capture and the middleware, validates that every posting into SAP is correct against the SAP team, then extends to the next flow.

Each phase delivers one flow posting cleanly into SAP before the next begins, so the SAP team gains confidence on real transactions and the integration grows on trust rather than on a big bang cutover that risks the system the whole business depends on.

The RFID SAP integration rollout validates correct postings on one flow before it extends.

What RFID SAP integration returns

RFID SAP integration pays back in accuracy, speed and labour freed from data entry. SAP stock becomes accurate in real time, movements post the moment they happen, and the people who used to key transactions move to work that needs judgement. In our largest RFID deployments this operates at the scale of hundreds of thousands of movements a day.

The band below reflects what the integration returns once RFID capture and SAP posting work together across the material lifecycle.

What RFID SAP integration returns From production grade deployments 720k moves tracked per day Real time SAP stock accuracy 60% less manual data capture Fewer stock discrepancies

Beyond SAP, one approach to every ERP

The same approach that connects RFID to SAP connects it to any ERP, because the pattern is the same, capture the movement, translate it to the right transaction, post it over the supported interface. We use the identical middleware architecture to integrate RFID and shop floor data into Oracle, Microsoft Dynamics, Epicor, Odoo, Zoho and custom ERPs.

That means a plant is never locked into one vendor to get real time material data into its ERP. Whatever system you run now, and whatever you migrate to later, the RFID and shop floor capture stays the same and only the posting layer changes. RFID SAP integration is our deepest example, and the method carries to every other ERP a plant might run.

  • The same capture and translate pattern for any ERP
  • Proven with Oracle, Dynamics, Epicor, Odoo and Zoho
  • No lock in, the capture stays the same across ERPs
  • A migration changes the posting layer, not the floor

Item level, pallet level and the right granularity in SAP

A question that decides the cost and value of RFID SAP integration is granularity, whether you tag and track at the item, the case, the pallet or the location. Tagging every item gives the finest visibility but costs the most in tags and reads, while pallet level tracking is cheaper and enough for many material flows. There is no universally right answer, and matching the granularity to what SAP actually needs for each material is where a good integration saves money.

We design the granularity against your SAP processes and your material value. High value or serialised items that SAP tracks individually justify item level tags and serial number postings, while bulk material moving by the pallet is tracked at the pallet and posted as aggregate movements. Getting this right means SAP receives exactly the level of detail its transactions need, no more and no less, which keeps both the tag cost and the SAP data volume sensible.

This is also where serialization matters for compliance and traceability. For industries that must trace individual units, we post serial numbers into SAP so the genealogy in SAP matches the physical items, and for everything else we keep the posting at the level SAP plans and accounts at. The discipline of matching RFID granularity to SAP need is unglamorous and it is where a lot of the real return and cost control of RFID SAP integration is quietly decided long before the first tag is ever bought.

  • Granularity matched to what SAP needs per material
  • Item level and serial postings for high value or traced goods
  • Pallet level aggregate movements for bulk material
  • Tag cost and SAP data volume both kept sensible

Frequently asked questions

What is RFID SAP integration

RFID SAP integration connects an RFID solution directly into SAP, so every tagged movement of material becomes a posted transaction in SAP without manual keying. An RFID read at a portal, handheld or forklift posts a goods movement, stock transfer or production confirmation to the right SAP transaction automatically, so SAP reflects physical reality in real time rather than lagging the floor.

Which SAP interfaces do you use

We use the interfaces SAP maintains, IDocs, BAPIs, RFC and OData or the SAP integration suite, matched to your SAP release, and we post to the standard MM and WM interfaces for goods movements and transfers and to PP for production confirmations. Building on supported interfaces keeps the integration working through an S/4HANA migration or a support pack rather than breaking on the next upgrade.

How is this better than keying movements into SAP by hand

Manual entry means SAP is always hours and a few mistakes behind the floor, and every mis-key becomes a stock discrepancy someone hunts down later. RFID SAP integration makes the read the record, so movements post as they happen, SAP stock stays accurate continuously, and the stocktake stops being a reconciliation of the damage manual entry caused.

How do you make sure the SAP postings are correct

A wrong posting into SAP is worse than none, so we engineer the middleware to be certain before it posts, filtering stray reads, confirming direction and context, and handling awkward cases like a tag read twice or a failed post that must be retried without duplicating. Any read that cannot be posted is queued and surfaced rather than silently lost, and the integration state is always visible.

Can the same RFID solution integrate with a non SAP ERP

Yes. The pattern is the same for any ERP, capture the movement, translate it to the right transaction, post it over the supported interface. We use the identical middleware architecture to integrate RFID and shop floor data into Oracle, Microsoft Dynamics, Epicor, Odoo, Zoho and custom ERPs, so a plant is never locked into one vendor to get real time material data into its ERP.

How long does an RFID SAP integration take

We prove it on one SAP flow first, usually goods receipt or dispatch, build the capture and middleware, validate that every posting is correct with your SAP team, then extend to the next flow. Each phase delivers one flow posting cleanly into SAP before the next begins, so the integration grows on validated trust rather than a big bang cutover that risks the system the business runs on.

Common concerns, answered

Will this disrupt production?

No. We connect read only first, install during planned stops, and edge devices buffer data so a network problem never stops a machine. Nothing writes to a PLC without your controls team and a test.

Our machines are old. Do we need to replace them?

No. Old machines are the usual case. A running signal, a cycle signal or a current sensor on the motor is enough to start, without touching the machine program.

We tried a system before and nobody used it.

That is the most common failure, so we design with the operators and supervisors who will use it, start with one report they already fill in by hand, and only extend once they rely on it.

What about IT security?

Read only by default, a segmented OT network, and a review with your IT team before anything connects, following the ISA/IEC 62443 zone approach.

We will not replace SAP or Oracle. Do we have to?

No. We connect to the ERP you already run through its standard interfaces and add what the shop floor is missing. Your ERP stays the system of record.

Do your engineers understand a heavy industrial floor?

Our systems run in steel plants, warehouses and process lines. We start every project by walking the line with your operators and supervisors, and the first release is tested by them, not only by IT.

Are we locked in?

No. You own the source code and the data, documented, in your own repository. Another team can maintain it.
